Five Game Changers in discovery ][ Local’s Review

Is document review your jam? Is it your responsibility to conduct document review, tag documents, and conduct searches in discovery ][ Local (aka Ipro for desktop)? 

When it comes to working in Review, knowing how to perform a few simple game-changing tasks can make you more effective and efficient, both individually and as part of a review team. 

As a former paralegal, I used to conduct document review and organize case data, sometimes individually, though more often than not, as part of a large review team, where associates and partners relied on me to make review easier for them. 

During that time, I took note of five game changing tasks that the team I worked with found extremely beneficial. These little tools are super helpful and when used, can make all the difference in the world.

From increasing your efficiency to providing a lot of information with the click of a few buttons, these time-saving tips will make others sit up, take notice, and make your job easier.

These game-changers are:

1. Private Folders (and Public Folders)

2. Smart Folders

3. Tiff on the Fly

4. Fact Management/Presentation

5. Tally

In this blog, I’ll dive into each of them.

Private Folders/Public Folders:

First, let’s talk about Private Folders and Public Folders.

Upon creating a private folder, you can select documents from the case view and copy them into that folder using the drag and drop method. This is a way of organizing documents into folders for pleadings you are drafting or upcoming expert depositions you need to prepare for.

These folders are private, thus only you can see them. However, you can share a private folder with others on your team who are part of your subscription and who have been added as users to your case.  

Smart Folders

Smart Folders are a quick and easy way to search doc tags, page tags, or categories (aka File Extensions). I use them to quickly search for a specific file type in my database considering that I can easily search on the doc tags.

Searching by category to pull up all Excel files with the click of a few buttons versus creating an Advanced Search saves a lot of time and is equivalent to an Easy Button.

Fact Management / Presentation

Upon identifying the documents that will help you determine your case strategy, or better yet, what you’ll need for Trial while working in Review, you can now send those documents directly to Fact Management / Presentation. You can even choose whether to send the production version or the original version of the document.

It’s as easy as drag and drop or right-click -> send. From there you can access either of the two modules, both of which will be automatically updated to reflect the documents in question. It doesn’t get any easier.

Tiff on the Fly

The handy dandiest little button if there ever was one, “Tiff on the Fly” makes it easy to create a static image of a document. Why is this important? Tiffing allows you to annotate documents, which includes the ability to redact, for privilege or PHI.

Instead of Creating Images of all documents, Tiffing on the Fly provides the flexibility to tiff only the documents you plan to redact. This keeps the size of the database compact and keeps costs down all around.

Tally

Have you ever needed or wanted to be able to find the unique hits and the individual record count for those hits within a certain column?

The Tally function will allow you to do exactly that. Upon selecting the column and then right-clicking to “tally” a column, you can drill down to the unique hits and see, for instance, how many emails were sent to an individual. Tally is, frankly, one of the most powerful and lesser-known little tools that give a lot of bang for its buck.

Conclusion

If I had to pick a favorite from this list, I’d be hard-pressed to do so, but I’d have to go with Tally. Tally allows me to quickly tabulate information. If I need to Tally the Mail To column, I can easily do so to see the unique hits and record count. Then I can drill down to see every email sent to an individual and bulk tag those items. The Tally function gives me the granular details I like and the ability to take that information to the next level.
